1. Planning Assistance-

  • Make recommendations on ceremony and order of events, processional & recessional, etc.

  • Communicate with church and/or Officiant to agree on rehearsal and ceremony responsibilities

  • Final venue walk thru with couple, venue facilitator, & vendors essential to wedding day design and activities

2. Time Management-

  • Ensure itinerary/timeline is followed

  • Make sure everyone is in the right place and right time for all itinerary/activities

  • Cue all wedding day itinerary/activities

  • Keep vendors to established itinerary/timeline

4. Venue Management-

  • Introduce ourselves to venue

  • Coordinate rehearsal, decorating, vendor deliveries and wedding day schedule

  • Supply with list of vendor requests

5. Vendor Management-

  • Introduce ourselves to vendors with signed agreements and serve as point of contact

  • Confirm basic vendor services, final headcounts and delivery/arrival times

  • Finalize vendor contact list

  • Provide a detailed timeline for all contracted vendors

6. Set Up Supervision-

  • Supervision of ceremony and rehearsal set up, design and decor. Ensure set up to plan

7. Coordinate/Direct Rehearsal-

  • Wedding Coordinator onsite for up to two hours of rehearsal

  • Direct rehearsal flow, advise, coordinate and discuss ceremony details-

             walking down isle, know their places, where to stand, where to sit, etc.

  • Collect decor and supplies for ceremony

  • Field wedding party and family questions

8. Coordinate/Direct Wedding Day Itinerary/Activities-

  • Professional Coordinator onsite for up to 12 hours on wedding day

  • Execute rain plan (at couples discretion)

  • Coordinate and direct pre-ceremony & pre-reception logistics

  • Greet & manage vendor set up, questions, services and any issue that may arise

  • Direct guest & answer questions at ceremony & reception

  • TLC & support for couple

  • Serve as point of contact & support for bridal party and family

  • Assist photographer by having couple, bridal party and family ready for photographs

  • Troubleshoot and redirect wedding day, ceremony and reception as needed

9. Coordinate & Direct Ceremony-

  • Direct ushers and helpers with seating and program distribution

  • Distribute bouquets & manage pinning corsages to bridal party, attendants and family members

  • Direct and line up processional, cue processional & recessional

  • Transport items from rehearsal to wedding (size limits apply)

10. Coordinate & Direct Reception-

  • Coordinate and direct reception flow

  • Cue grand entrances, dances, toasting, cake cutting, exit, etc.

11. Manage Tear Down & Closing Activities-

  • Distribute final payments and gratuities

  • Box up all remaining cake

  • Arrange for personal items to get packed up and given to designated person, room and/or vehicle

  • Gather gifts, gift cards, cake & keepsake items and hand-off or help load to designated person,

            room and/or vehicle.

  • Manage gathering of rentals, vendor decor & supplies (as required)



  1.   All services listed under Professional Coordinating Services

  2.   Ideal to have 1st meeting 120 days or more prior to wedding date (and no less than 60 days)

  3.   2 meetings in person, up to 6 hours total, to review wedding profile, vision, venue, vendors, logistics,                 progress, unfinished business, payment deadlines, calendar, etc.

  4.   Unlimited communications via email, voice, text with couple up to 120 days prior to wedding date

  5.   Initiate venue & vendor management around 60 days prior to wedding date

  6.   Review wedding budget & make suggestions for staying on budget

  7.   Review venue & vendor contract services and prepare a list of additional services that may be needed;             -such as valet, security, lighting, beverage, entertainment, etc.

  8.   Manage list of wedding party and family to attend rehearsal

  9.   Prepare rehearsal and wedding day itinerary, task assignments, list of supplies, floor plan & seating chart

  10.   Set up styling/placement of rehearsal isle runners, ceremonial items, signs, programs, etc.

  11.   Set up styling/placement of floor plan, design & decor for cake table, gift table, favor table, etc.;                     -such as signs, escort cards, favors, guest book, table numbers, menu, toasting glasses, cake cutter,               photo booth props, send-off items, etc.
